Description

SmartSimple Software Inc. is a “Software as a Service” solutions company. We provide Web solutions to our clients that simplify and automate their business processes in areas such as Insurance, Grants Management and Not-For-Profit.

This role is responsible for coordinating activities and resources in support of implementation projects that impact multiple departments, systems, and/or work-flows with moderate to high risk and complexity or multiple projects simultaneously with lesser risk and complexity.

This role requires a clear understanding of our internal processes and procedures in order to realistically assess and coordinate activities for any given project.

This position reports to the Senior Project Manager.

 

Responsibilities:

• Develops and maintains a detailed project schedule for multiple projects, delivering a summarized weekly update to the Senior Project Manager

• Coordinate meetings, including travel arrangements and expense reports.

• Responsible to take input from the business analysts and project engineers to develop and maintain the detailed schedule.

• Maintain Project Managers, Implementation Specialists and other resources’ calendars.

• Prepare and/or edit meeting minutes, presentations and tables.

• Submit all project documents (hard and soft copies) to all related parties as indicated in the Project Plan.

• Ensure coordination of all deliverables from all related parties to meet project deadlines. Adjust deadlines when necessary when roadblocks are encountered, ensuring minimal impact to risk and cost.

• Evaluates existing project management practices and recommend improvements to project and program management practices.

• Liaise with management at all levels of the business, managing their expectations for project delivery, escalating project issues, risks, and recommendations to senior leadership as appropriate.

• Ensures that projects are well planned and organized, including business case development, impact assessment, charter, communication plans, and integrated project schedules.

• Compile and assist in preparation of the following documents, e.g. Project Plan, Statement of Work, Detailed Business Requirements Document and User Training Manuals. Collect and include contributions of the Team

 

Skills and Abilities:

• Knowledge of information gathering techniques, procedures, and practices.      

• Knowledge of project planning and management procedures, practices, and techniques.

• Skill in operating a personal computer and utilizing Microsoft software, and database software.

• Ability to communicate clearly and effectively, both verbally and in writing.

• Ability to collect and analyze complex data.

• Ability to exercise considerable individual judgment and initiative in conducting the necessary operations within the program.

• Ability to develop initiatives in innovative manner for effective resolution.

• Ability to prepare and conduct effective presentations.

• Ability to coordinate project activities with diverse groups and individuals.



Requirements

       Bachelor’s Degree from an accredited college or university.

       3+ years experience in a Project Coordination role with preference being given to candidates who have worked in a similar or related industry.

       PMI Scheduling Professional Certification would be an asset.

       Familiarity with software application and database concepts.
